Acceptable Use Policy

This Acceptable Use Policy ("AUP") forms part of the Terms of Serviceand applies to everyone who uses Actions and to all content you submit or capture, including meeting recordings and transcripts ("Content"). If we believe your use breaches it, we may remove Content and suspend or terminate access.

1. General principle

Use Actions only for lawful business purposes, in compliance with all applicable laws and the rights of others — including the people whose conversations are captured.

2. Recording & consent

Because Actions deploys a bot that records and transcribes meetings, you must only deploy it to meetings you are entitled to record; inform all participants before recording begins and obtain any consent required by law; have a lawful basis under UK GDPR to process participants' personal data (including non-members of your organisation); and never use Actions to covertly or unlawfully record or surveil anyone.

3. Prohibited content

You must not submit, capture or process Content that:

  • is unlawful, infringing, defamatory, harassing, or violates others' IP, privacy or confidentiality rights;
  • you have no right to record, store, or send to our AI sub-processor for processing;
  • contains malware or is designed to compromise any system;
  • you are contractually or legally barred from disclosing to third-party processors.

4. Sensitive & restricted data

Actions is a general business-productivity tool and is not designed or warranted for high-risk or specially regulated data. Unless agreed in writing, do not use it to capture or process: special category data under UK GDPR (e.g. health, racial/ethnic origin, religious beliefs, sexual orientation, biometric/genetic data) where that would breach the law; classified, government-restricted or export-controlled information; payment card data other than via our Stripe checkout; or data subject to sector-specific regimes you have not told us about. If meetings may incidentally touch such data, you remain responsible for having a lawful basis and safeguards.

5. Prohibited conduct

You must not:

  • access another organisation's data or circumvent tenant-isolation (Row-Level Security) controls;
  • reverse-engineer, scrape, or attempt to extract or replicate the AI pipeline, prompts or models, except where the law allows;
  • probe or test the security of the service without our prior written permission;
  • use the service to build or benchmark a competing product;
  • impose an unreasonable load or abuse rate limits / usage quotas via automation;
  • resell the service except as permitted, or use it to send spam or violate others' rights or safety.

6. AI output

Do not present AI-generated output as human-authored where that would be deceptive, and do not rely on it for significant decisions without human review. You are responsible for how you use the output.

7. Enforcement & reporting

We may investigate suspected breaches, cooperate with law enforcement, remove offending Content, and suspend or terminate accounts — giving notice and a chance to remedy where we safely can, but acting immediately for serious or ongoing risk.
